Scope & Audience

Knowtopia is designed for child learners and is purchased by schools and individual consumers. Children may access the app under the supervision of a parent/guardian or school. Only adults (18+) create accounts and manage purchases/subscriptions.

We operate primarily for customers in Japan. This policy is intended to align with the Act on the Protection of Personal Information (APPI) and app store requirements.

Data We Collect

Account & Profile

  • Account identifiers (adult email) and authentication data.
  • Student profile information you provide (e.g., display name/nickname; optional class/school information).
  • Role/relationship info (e.g., parent/guardian, teacher/school).

Service Usage

  • Activity and progress metrics (e.g., quiz attempts, timestamps).
  • App settings and feature usage.

Payments & Orders

  • Web store payments via Stripe (we receive order/payment status, not full card numbers).
  • In-app subscription status via RevenueCat/App Store/Google Play.
  • Fulfillment details for physical products when provided by you.

Automatically Collected

  • Log data (IP address, browser/app version, timestamps).
  • Cookies or similar technologies for essential functions such as sign-in, cart, language preference, and checkout recovery.
  • Limited first-party QR / campaign attribution storage used to measure postcard and QR campaign effectiveness.
  • Device/installation identifiers used to deliver updates and manage subscriptions (Expo Updates, RevenueCat).
  • We do not collect precise location, contacts, photos library, or audio recordings.
  • No personalized advertising or ad-based profiling.

How We Use Data

  • Provide, operate, and improve the Service.
  • Authenticate users, prevent fraud/abuse, and ensure security.
  • Process orders, subscriptions, and support requests.
  • Analyze aggregate usage to improve features and stability.
  • Comply with legal obligations and app store policies.

Sharing & Processors

We share data with service providers only as needed to operate the Service:

  • Firebase (Authentication/Firestore).
  • Expo (build/runtime tooling).
  • RevenueCat (subscription management).
  • Stripe (payments).
  • Sanity (content management system).
  • YouTube (only when you choose to play an embedded video).

Website Storage / External Transmission Notice

For the website, we publish a separate notice describing browser storage (including local storage and session storage) and external transmissions to service providers such as Google/Firebase, Stripe, Sanity CDN, and YouTube. Children & Schools

Knowtopia may be used by children under the supervision of a parent, guardian, or school (including children under 13). Children do not create standalone accounts; instead, adults manage access and provide consent where required. For school-managed use, authorized school staff may view student names and learning progress for students in their school. We do not display student email addresses to school staff.

Children’s Privacy (COPPA)

For children under 13, we collect only the information needed to provide the Service (nickname and learning progress). Parent/guardian consent is required for account creation and can be withdrawn at any time by requesting deletion. Parents may review, delete, or request access to a child’s data by contacting us.

GDPR / EEA & UK Users

If you are in the EEA/UK, we process data based on contract, consent, and legitimate interests. You may request access, correction, deletion, portability, or objection to processing by contacting us.

Retention

We keep personal data only as long as necessary to provide the Service or as required by law. If you request account deletion, we delete sign-in/account/profile data, while transaction/accounting/security records may be retained for legally required retention periods. Backups expire on their regular cycle.

Security

We use industry-standard security practices to protect your information. However, no method of transmission or storage is completely secure.

International Transfers

Your data may be processed outside your country. We rely on contractual safeguards when transferring information internationally.

Your Rights

Under APPI and other applicable laws, you may request access, correction, or deletion of your personal information. Contact us to exercise your rights.
